Terms of Service

1. The Service

ApisCore is apiary and honey business management software for commercial and sideline beekeepers in Canada. The Service includes tools for yard and hive records, field inspections, treatments, harvests, inventory, compliance tracking, honey label generation, traceability, pollination contracts, financials, team permissions, maps, reports, and related operational workflows.

Optional features may include AI-assisted field note parsing and a Hive Assistant chat, email and SMS reminders, accounting sync, sensor data ingestion, landowner and grower portals, and public trace pages for honey lots. Availability of optional features depends on how your deployment is configured.

The Service provides guidance aligned with Canadian provincial beekeeping regulations and PMRA product labels where applicable. It is not legal, veterinary, laboratory, or financial advice. You remain responsible for all regulatory, food-safety, and business decisions.

2. Accounts and access

You are responsible for maintaining the confidentiality of your credentials and for all activity under your account. Enable multi-factor authentication (MFA) when available for additional protection.

Organizations may belong to multiple users with role-based permissions. A user may belong to more than one organization and switch between them when authorized.

Public self-registration may be enabled or disabled on a given deployment. When disabled ("invite-only"), new accounts must be created through an organization invite or by a platform administrator.

You must provide accurate registration information, including your province or territory, because compliance playbooks, reminders, and jurisdiction-specific copy depend on it.

We may require a password change after certain security events or administrator actions. You must complete required security steps before accessing other parts of the Service.

3. Acceptable use

You agree not to misuse the Service, attempt unauthorized access, interfere with other users, or upload malicious content.

• Do not share accounts or bypass role-based permissions.
• Do not use the Service to store unlawful content or violate third-party rights.
• Do not scrape, reverse engineer, overload, or probe the Service without written permission.
• Do not treat AI-generated text as a substitute for provincial disease reporting, veterinary diagnosis, or PMRA label instructions.

4. AI features

When enabled, the Service may use third-party AI (currently Google Gemini) to parse field notes, transcribe voice memos, answer operational questions in the Hive Assistant, and generate short operational summaries.

AI output is provided for convenience only. It may be incomplete or incorrect. The Service does not automatically diagnose disease from images or audio and does not replace laboratory testing, provincial inspectors, or your own field judgment.

By using AI features, you instruct us to send the content you submit (for example inspection notes, questions, or audio) to the configured AI provider for processing. See the Privacy Policy for details.

If AI is not configured on your deployment, rule-based fallbacks or disabled states may apply instead.

5. Honey labels, traceability, and compliance

Label templates and traceability features assist with Canadian and provincial honey labeling requirements, including bilingual label fields where applicable.

Public trace pages, QR codes, landowner portals, and grower portals only expose the information you choose to publish or share via a tokenized link.

You are solely responsible for verifying that printed labels, public pages, and regulatory submissions meet all applicable federal, provincial, and municipal rules before sale, distribution, or official reporting.

6. Third-party integrations

You may choose to connect third-party services such as accounting platforms (for example QuickBooks, when configured), email delivery, SMS providers, or sensor devices.

Your use of third-party services is subject to their terms and privacy policies. We are not responsible for outages, data handling, or billing by third parties.

You authorize us to exchange data with connected services only as needed to provide the integration you enable.

7. Data and privacy

Our collection and use of personal information is described in the Privacy Policy.

You retain ownership of operational data you enter. We process it to provide the Service, generate reports and labels, deliver notifications you enable, maintain security, and produce audit logs.

Platform administrators may access customer organizations for support, abuse prevention, and system health, and may use a controlled "view as organization" mode that is logged for accountability.

8. Availability and changes

We may modify features, perform maintenance, suspend access when necessary for security, or update these Terms. Material changes will be reflected on this page with an updated date.

Continued use after changes constitutes acceptance of the revised Terms. For significant changes, we may also notify account holders by email where appropriate.

9. Limitation of liability

The Service is provided "as is" to the maximum extent permitted by law. We are not liable for lost profits, crop or pollination losses, regulatory penalties, hive losses, or business interruption arising from reliance on software guidance or AI output.

Our total liability for any claim relating to the Service is limited to fees paid by you in the twelve months before the claim, or CAD $100 if you use a free or self-hosted deployment.
